Daylight Savings Time Updates - Part II
Reviewing Appointments in Groupwise
The Server Daylight Savings Time Adjustment Tool creates two new folders named “TZChange2007 adjusted” and “TZChange2007 not adjusted” that gather all appointments dated between March 11 and April 1 and between October 28 and November 4 for the year 2007. These are the dates that contain appointments that will need to be reviewed. The Find Results folders simplify the adjustment task by displaying all appointments from the problem date ranges together for easy review.
- For appointments you have sent, double-click an inaccurate appointment, adjust the time, then resend the appointment.
- For personal, posted appointments, double-click an inaccurate appointment, adjust the time, the repost the appointment.
- For appointments that have been sent to you, make a note of potentially inaccurate appointment, then await a re-sent appointment from the originator.
- For sent, posted, and received appointments, check for overlapping appointments that have both been accepted. Even users with rules to automatically prevent conflicting appointments might have conflicting appointments because of adjustments made by The Server Daylight Savings Time Adjustment Tool. If some appointments were made from workstations that had not yet received their DST Windows updates and other appointments were made from workstations that had received their DST updates, the result can be overlapping appointments.
- The TZChange2007 Find Results folders display appointments for 2007 only. If you have recurring appointments that extend into future years, you need to also check them manually.
- When you are finished with the TZChange2007 folders, you can delete them.
Adjusting Appointments in Shared Folders (Only two people that we know of do this. Please check with IT if you think this may apply to you.)
In shared folders, the end times of appointments are not adjusted accurately. As a result, appointments in shared folders appear to be inaccurate in length, although the start time is accurate. For example, a one-hour appointment would have an accurate start time, but an inaccurate end time, making it look two hours long. If you own a shared folder, notify the senders of appointments in the shared folder that they must correct the appointment end times and then reshare the appointments.
Adjusting Appointments in Caching and Remote Mailboxes (Again, we believe this option is only used by one person. Please contact IT if you think this may apply to you.)
The synchronization process between a Caching or Remote mailbox and the corresponding Online mailbox does not download the modified end times of appointments accurately. As a result, appointments in Caching and Remote mailboxes might appear to be one hour too long, with the start time accurate and the end time inaccurate. To solve the problem, remove the inaccurate appointments and download the accurate versions to your Caching or Remote mailbox:
- In the GroupWise Windows client, click Accounts, then deselect Auto Send/Retrieve to turn off automatic synchronization.
- Click Accounts > Send/Retrieve to make sure that your Caching or Remote mailbox is completely up-to-date.
- Delete and empty all inaccurate appointments.
- Click Accounts > Pending Requests, select any pending requests displayed in the Pending Requests dialog box, then click Delete to empty the pending requests queue.
- Click Accounts, then select Auto Send/Retrieve to turn on automatic synchronization.
- To synchronize immediately, click Accounts > Send/Retrieve.
- The accurate versions of the appointments are downloaded to your Caching or Remote mailbox.
